Supplier invoice intelligence

A three-way match tells Accounts Payable that an invoice is $550 over its purchase order. It does not say why. VEOTEQ AI investigates across email, the ERP and purchasing records, recommends an action with the evidence attached, and leaves the decision to the right person.

4-minute demonstration with synthetic data and simulated transactions; it does not represent a live integration, nothing shown was posted or paid, and all figures are illustrative, not client results. NetSuite, Microsoft Outlook, Microsoft Teams, and Power BI are trademarks of their respective owners; VEOTEQ is not affiliated with or endorsed by them. Before and after

From investigating every exception to making one decision

Today

  • The ERP's three-way match flags the variance, but not the reason
  • An analyst opens the email, invoice PDF, purchase order, receipt and purchasing emails
  • About 12 minutes per invoice to work out why the numbers differ and who must decide (illustrative)
  • An unexplained difference means a delayed payment, or a wrong one

With VEOTEQ

  • AI reads the invoice email and PDF: supplier, invoice number, PO number and total
  • It finds the PO, item receipt and vendor bill in NetSuite and compares them line by line
  • It searches purchasing correspondence and finds the freight was discussed but never authorized
  • A recommendation with the evidence goes to the purchasing manager in Teams Approvals
  • On approval, the PO is amended and the bill approved; payment follows your normal controls
Controls

AI prepares the decision. A person owns it.

The right approver decides

The request goes to the purchasing manager, because the open question is a purchasing authorization. Approve, reject or ask for more information.

Evidence in every request

The approval carries the variance, the receiving status, the linked records and the recommendation, and every decision is recorded.

Payment controls unchanged

The AI never pays or releases funds. Payment follows the same approvals and payment run; a rejection triggers a request for a corrected invoice.

Illustrative outcome at 500 invoices a month: 12 minutes down to 3 per invoice, 75 hours recovered a month, about $40,500 a year at $45 an hour. Your numbers will differ. How we handle your data.
